St. Paul's Volunteer Position Descriptions

So you know what you are getting (or got yourself) into.

Chairman, Usher Committee

General Responsibilities: To work under the direction of Priest, (in the absence of the Priest, the Senior Warden) and collaboratively with Administrative staff to recruit, train and coordinate parish members, male and female, who will during Sunday worship services, assure that seating of worshipers as well as other tasks such as serving of Communion and the collection of the offering is accomplished in an orderly and competent manner.

Specific Responsibilities:
Attends Sunday worship services on a regular basis
Supports Mission and Vision Statements of the Church
Secures calendar of regular Sunday morning worship services as well as other special occasions which require ushers.
Schedules ushers for each of the occasions noted in item 2.
Oversees orientation and training of ushers, involving new members as appropriate.
Assures ushers' knowledge of room setup, special seating needs, order of worship availability, and offering collection.
Gathers offerings in accordance with procedures arranged with priest
Count and record offerings in accordance with established procedures
Arranges for a worship attendance count to be taken at each service
Serves as a member of the worship committee.

Acolyte Coordinator

To work under the direction of Priest, (in the absence of the Priest, the Senior Warden) and collaboratively Administrative staff while providing guidance and direction to the Acolytes

Specific Responsibilities:
Attends Sunday worship services on a regular basis
Supports the Mission and Vision statements of the Church
Oversees the acolyte program of assistance to priests in the service of worship.
To appoint Assistant Coordinator of Acolytes
To schedule a minimum of two training sessions per year
To assist in coordinating at least one extra parochial event (Diocesan or National Cathedral acolyte event)
To arrange for regular upkeep of acolyte vestments
To schedule acolytes for each service of worship. Supervises and assists, as required, during the performance of their duties.
To publicize to the whole congregation the need for acolytes and recruits frequently, especially from new families in the life of the church
To serve as a member of the worship committee. Attends meetings and is willing to accept tasks and responsibilities for programs and activities of the committee as related to the acolyte program.

 

Chair of The Altar Guild

General Responsibilities: To work under the direction of Priest, (in the absence of the Priest, the Senior Warden) and collaboratively with Parish Priest and Administrative staff while providing guidance and direction to the church Altar Guild including establishing monthly coverage schedules. Also responsible for coordinating the yearly Altar Flower Memorial List, serving as the Chatelaine, and being responsible for maintaining the financial records for the Altar Guild.

Specific Responsibilities:
Attends Sunday worship services on a regular basis
Attend Sunday worship services on a regular basis
Support the Mission and Vision Statements of St. Paul's Parish
Schedule a minimum of two training sessions per year for established and new members
Organize and prepare yearly Altar Guild team schedules giving special attention to see special Holy Day events are spread out among all teams.
Schedule Altar Guild teams to cover weddings, funerals, and baptisms.
Communicate with the families involved in these events as well to provide guidelines and suggestions for appropriate church decorations.
Organize and prepare the yearly Altar Flower Memorial List
Send letters to each person donating flowers to notify them of the exact Sunday their flowers will be on the Altar,. Letters should be sent out on a monthly basis and should also confirm the donors that any special arrangements requested will be honored.
Send written instruction to the florist (Murdoch's) during the third week of each month outlining the next month's orders with clear billing instructions.
Carry out the duties of Chatelaine:
Keep adequate port wine supply available (wine donated by Liz Draper Brice)
Maintain an inventory of candle oil, wafers & hosts, Sanctuary & Baptismal candles, and cleaning supplies for the Brass rail & the Silver used weekly.
Monitor the condition and supply of Altar Linens. Insure that there is one person responsible for the laundering and pressing of all linens
Manage and balance the Altar Guild checkbook and provide the Church Treasurer with a copy of the bank statement and reconciliation each month. Report donations and expenditures on a quarterly basis to the Treasurer.
Serve as "on call" resource to Altar Guild to fill in for any Guild Member unable to fulfill their scheduled obligation.

Chair of the Pastoral Care Committee

Purpose: To work under the direction of Priest, (in the absence of the Priest, the Senior Warden) and collaboratively with the Administrative staff while coordinating and overseeing a corps of volunteers whose interest and Mission is to provide temporary respite care or assistance for members of the Parish due to illness, injury, death or other unusual sources of distress.

Term Limit: Two years, renewable

Specific Responsibilities:
Attend Sunday worship services on a regular basis
Support the Mission and Vision Statements of St. Paul's Parish
Maintain strict confidentiality regarding information pertinent to the work of the committee
To work at the direction of the Priest to recruit and train a minimum of twelve volunteers interested in personal home visits, preparing meals, providing transportation
To create a duty roster and arrange for substitute volunteers
To maintain communication with Church office and Priest to be aware of members of congregation who may be in need of service delivery
To ensure at least monthly personal visit with each homebound by one of the volunteers
To notify Priest of parishioners who may be in need of assistance beyond that which volunteers can provide, including counseling, monetary support
To be prepared to meet with Vestry a minimum of once a year and to write a formal report for the Annual Meeting Report

Chairperson of Finance Committee

Overall Purpose of Position: To work under the direction of Priest, (in the absence of the Priest, the Senior Warden) and collaboratively with the Administrative staff to coordinate, oversee and implement the role of the Finance Committee as advisor to the Vestry on issues of investments and spending

Specific Position Duties and Responsibilities:
Attend Sunday worship services on a regular basis
Support the Mission and Vision Statements of St. Paul's Parish
Be able to read and analyze financial data and to be familiar with Church finances.
Be able to gather information regarding prior trends within the Church when making future forecasts and recommendations
Facilitate at least quarterly meeting of Finance Committee and report to the Vestry
Recruit up to three other parish members in addition to the Sr. Warden and Treasurer
Receive and review financial reports and respond to Vestry to discuss any changes, trends, concerns as indicated by reports
Lead quarterly review of status of investments and make recommendations to Vestry
Lead members of Committee and enable group to come to consensus on issues before them

 

Chairperson of the Episcopal Church Women (ECW)

Overall Purpose: To work under the direction of Priest, (in the absence of the Priest, the Senior Warden) and collaboratively with the Administrative staff to act as administrative head of the ECW whose purpose is to promote Christian fellowship among all women of St. Paul's Parish, to raise funds for designated outreach efforts and to manage kitchen for Parish events

Specific Responsibilities:
Attend Sunday worship services on a regular basis
Support the Mission and Vision Statements of St. Paul's Parish
Make known to all women of the Parish that they are members of ECW and encourage their active involvement in the ECW
Facilitate a minimum of four meetings per year and one executive meeting per month
Facilitate fundraiser(s) to meet Mission of outreach
To coordinate and oversee management of kitchen for purposes of staffing all special events using the kitchen
To oversee election of Board and manage V.P., Secretary and Treasurer
To oversee financial status of ECW
To oversee decisions of Board as to where funds are directed
To provide quarterly financial statements to the Vestry

Search Committee Member

This position will be part of a team of approximately nine members, charged with the task of identifying and selecting a minimum of three candidates to be presented to the Vestry for final selection as Priest of St. Paul's Parish, Centreville

Specific Responsibilities of a committee member:
Attend Sunday worship services on a regular basis
Be able to attend bi-weekly meetings, perhaps more as necessary
Travel to evaluate candidates during their conduct of a worship service
Become thoroughly familiar with the search process as outlined in the Search manual authored by Charles R. Wilson
Be committed to supporting the Mission & Vision statements of the Parish
Be able to maintain strict standards of confidentiality
Have effective communication skills
Be a team player
